Online Hit List Help Here.

Condition is the Amazon condition used on Marketplace only, whether it be Amazon.com, Amazon.ca o Amazon.co.uk.  The list of choices is as follows:

1 = Used; Like New
2 = Used; Very Good (default)
3 = Used; Good
4 = Used; Acceptable
5 = Collectible; Like New
6 = Collectible; Very Good
7 = Collectible; Good
8 = Collectible; Acceptable
11 = New

BookTrakker will match these conditions automatically based on using the Book field on the main data entry form. As you select from the Book field one of the choices, BookTrakker will set Condition on the Amazon tab according to the following equivalence table:

AN, F+, F, NF

=

Used; Like New

VG+, VG, VG-

=

Used; Very Good

G+, G

=

Used; Good

Fair, P

=

Used; Acceptable

If you want to use any other selection then you need to manually change the choice to what you want. There is no capability within BookTrakker to distinguish between Used or Collectible during data entry, the default is Used, unless you select New for the book, in which case New is selected on the Amazon tab. You have to change the dropdown manually for Collectible.

Marketplace - Must be checked for all Amazon.com uploads, Merchant Fulfilled. To set Marketplace by default then do Tools > Options at the top of BookTrakker, then click the Amazon button in the middle to bring up Amazon Settings.  Check Marketplace under Amazon Defaults, and if you have downloaded your Shipping Templates into BookTrakker then select your default Shipping Template. You can always change on the Amazon tab during data entry. You can uncheck Marketplace on the Amazon tab if you do not want to upload an Active record to Amazon while uploading elsewhere. Or, if you have both an ISBN and an ASIN then use both, BookTrakker will upload the ISBN to other services and the ASIN to Amazon.

North American Marketplace Accounts (NAM)

If you list on one of the North American Marketplace (NAM) sites (Amazon.com, Amazon.ca or Amazon.mx) and have a North American Unified Account then you can upload to both Amazon.com or Amazon.ca through the same Pro Merchant account.  See NAM instructions to understand what the NAM is all about. So if you have either an Amazon.com or Amazon.ca Pro Merchant account you can upload to Amazon.com and/or Amazon.ca to manage listings. For Mexico you can only manage through your Amazon dealer page. BookTrakker does not directly upload to Amazon.mx.

Shipping choices for booksellers in Canada (CA) or the United Kingdom (UK)

Item Note - Used for the Comments field on Marketplace. Limited to 2000 characters in BookTrakker. NOTE: If Item Note is used then BookTrakker will get the data for Seller Comments in the upload file from this field. This field will allow you to use one description for Marketplace listings and a different description for the other services.   Leave it empty and BookTrakker will use your Marketplace Field Mapping choices for creating Seller's Comments on Amazon. File > Export > Amazon Mapping.

C. Setting records for Amazon Condition

This can be more complicated, especially if you have DJ information. Ignoring DJ information, which can be included in the Comments on Marketplace, you will do a series of Hit Lists based on Book. These instructions assume you follow Amazon's convention of assigning condition as described above in Condition.

If you understand how Hit Lists work then you can do compound Hit Lists based on both Book and DJ to optimize the Amazon Condition settings. Obviously a VG Book with a Poor DJ is not really Used - Very Good.

1. Used; Like New

Click on the Hit Lists tab, left side. Click New. Click OK. Select Marketplace under Search Field. Search Criteria defaults to Yes. Under Marketplace click into the blank field and select Book. Over on the right, under Search Criteria, click into the field for the dropdown button to appear, click the dropdown button and select NF. Then, on the right, under Search Type, select At Least from the dropdown list. Your setup should look like this:

Click the Execute button. Next, click the Hit Lists tab on the left, then the Action tab, upper right. Click on Change, in the Action frame on the left side. Then select Condition from the Change dropdown list, and Used; Like New from the Change To field. Your setup should look like this:

Click Execute, confirm the changes. You can also set them to Collectible - Like New using the same process, providing they qualify under Amazon's guidelines for Collectible.

2. Used; Very Good Click on the Hit Lists tab, left side. Click New. Click OK. Select Marketplace under Search Field. Search Criteria defaults to Yes. Under Marketplace click into the blank field and select Book. Over on the right, under Search Criteria, click into the field for the dropdown button to appear, click the dropdown button and select VG+. Over on the right, select Less than or equal to. Click under Search Field, new row, select Book again from the dropdown list, then VG- under Search Criteria, then At Least under Search Type. Your setup should look like this:

Click Execute. You will end up with a list of all books where Book is VG+, VG or VG-. Next, click the Hit Lists tab on the left, then the Action tab, upper right. Click on Change, in the Action frame on the left side. Then select Condition from the Change dropdown list, and Used; Very Good from the Change To field.  Click Execute, Confirm. You can also set them to Collectible - Very Good using the same process, providing they qualify under Amazon's guidelines for Collectible.

3. Used; Good. Repeat as above, except G+ = Less than or equal to, and G = At Least. Then select Condition from the Change dropdown list, and Used; Good from the Change To field.  Click Execute, Confirm. You can also set them to Collectible - Good using the same process, providing they qualify under Amazon's guidelines for Collectible.

4. Used; Acceptable. Repeat as above. except you select Fair, Less than or Equal to. Then select Condition from the Change dropdown list, and Used; Acceptable from the Change To field.  Click Execute, Confirm. You can also set them to Collectible - Acceptable using the same process, providing they qualify under Amazon's guidelines for Collectible.

5. New . Similar to above, except you set the Hit List to search on New, Equal to. Then select Condition from the Change dropdown list, and New from the Change To field.  Click Execute, Confirm.

D. Setting records for Amazon FBA.

See E below for FBA Data Entry Instructions.

Three choices. No FBA, FBA/All (uploading to other sites) or FBA only.

Click Tools > Options at the top, then click the Amazon button in the middle to bring up the Amazon Settings form:

1. If you are a Marketplace seller only then No FBA is checked, and you have to select one or more of the three Amazon Services, and what default Shipping Template you want to use, if any. If there are no templates to choose from then records will be uploaded to Amazon using the default template in your Amazon account.

2. If the FBA/All check box on the Amazon tab is checked then the Status for New Records in BookTrakker will be set to FBA SHIP and  will be uploaded to Amazon only, with Status changing to FBA TRANSIT after each upload. When the new books arrive at Amazon and are processed into Inventory you can open App Manager, click the Utilities button at the top, then click the Update FBA Data button at the bottom. That will bring up this form:

To update records in BookTrakker where Status = FBA TRANSIT click the Request Inventory Report to bring up the Status Window for requesting Amazon data:

Followed by

And then, when records have been updated:

Click OK.

This process will update both FBA Price and Quantity for any records in BookTrakker that were changed on Amazon since the last report, as well as changing Status in BookTrakker for any books that have been processed into Inventory at Amazon from FBA TRANSIT to Available, ready to be uploaded to other online services. This means you have Amazon ship the books when they sell elsewhere.

You should run this report at least once a day to stay current.

For existing Marketplace sellers who want to ship books to Amazon for FBA, do the following:

  Click on the Hit Lists tab, left side. Click New. Click OK. Select Status under Search Field, defaults to Available. Select Marketplace under Search Field. Search Criteria defaults to Yes. Select what records you want based on your Search Fields and Search Criteria.

Once you have the records selected do an Action, Amazon. Under the Amazon box, upper right corner, click the dropdown and select FBA. Then select FBA/All in Change To:

Next you have to set Status to FBA SHIP. Select Status on the Action tab, then set Status over on the right to FBA SHIP. Click Execute, then Confirm the change.

Click the red Hit List button at the top to get out of Hit List mode. Then upload your records.

3. If the FBA Only check box on the Amazon tab is checked and Status = FBA then these records are only uploaded to Amazon. If previously uploaded records were changed to this choice then they would be removed from the other services while being uploaded to Amazon.

Check Yes. Click Execute. Confirm.

Click on the Hit Lists tab, left side. Click the Action tab, upper right. Check Status on the left. Where is says To: Available over on the right, click the dropdown button and select FBA at the end of the list. Click Execute. Confirm. (You will get zero results)

Click the red Hit List button at the top to get out of Hit List mode.

E. Data Entry Instructions for New FBA Records that will be listed on other online services.

When doing new records Status is set to FBA SHIP until you do your upload to Amazon, then the Status will change to FBA TRANSIT while you create your Shipping Plan and ship the books to Amazon. Clicking Update FBA Data at the bottom of the Utilities tab in App Manager will set these books to AVAILABLE when Amazon receives the books and has them available for sale. When they are set to AVAILABLE they can be uploaded to other online services.

Before starting data entry do Tools > Options at the top and set Cover to blank by clicking into the field to select the content, then pressing the Delete key on your keyboard. Click OK at the bottom of the form, then No.

CAVEAT: There are many fields in BookTrakker that some users may not need to use. That’s where Tools > Tab Order comes into play, you can select which fields to use and what order. Some fields, such as Type, are optional, up to the user. Many other fields are similar.

To do a New record: Click New Record button, bottom right corner. Click OK. Depending on your Tab Order you need to get to the ISBN or ASIN field on the Keywords tab near the bottom of BookTrakker. Type, paste or scan in an ISBN into the ISBN field, or paste in an ASIN from Amazon into the ASIN field. Press enter to move to the next field, and so on. (You can also use the Tab key)

Make sure you fill in description in the Features field if needed. (Or whatever field you are using for this, but NOT Item Note if this information is going to other services than Amazon.) Finish data entry, setting a price, then click Next Record or Done if you are done with data entry for this session.
