Instructions for Uploading with BookTrakker. 

Retail is the default Price used for uploads. File > Export > UIEE > Export Setup to change this. Retail is the middle Price on the Prices tab in Inventory.  

 

 

BookTrakker automatically creates and uploads your data when you click "Process and Upload Records" or "Process/Upload to Selected Service" on the Online page. Once you have setup an FTP account for once or more of the services, (see below) the process works like this:

1. Add, Edit or change Status to your records.
2. Click the Online button at the top. 
3. To upload to all "Active" services click the Process and Upload Records button.
4. To upload to one selected "Active" service click the Process/ Upload to Selected Service button.
5. What happens after you click either of these buttons is BookTrakker gathers the records to be uploaded and creates the upload file to send, via FTP, to the services you have checked as Active. If you upload to Amazon then UploadIt takes care of that before the UIEE uploads take place for all other services. 
6. UIEE file creation takes place when you see the Export Records form appear and the file creation progress bar is displayed at the bottom. When the progress bar field is completed the form closes and the upload to the first Active service begins. BookTrakker connects to each service, uploads the file, then verifies that the file arrived, (writing a success/failure message to the Export log) then closes the connection and moves onto the next Active service, repeating the upload process. 
7. When the uploads to all or one service is complete BookTrakker opens the
Export Log so you can see the results of your upload.  

To begin this process you need to set up the FTP program to do this. Click the Online button at the top of your BookTrakker screen. 

The following information applies to new users who have books listed on services already through another program or listed directly online. If you are a new user with no records listed online then go here

IMPORTANT: After setting up the Services and  be sure to read Initial Upload File, After Your First Upload to a Service, and All Further Uploads.

WARNING: Before doing your initial upload you have the option of doing a purge/replace of your records from all the online services you are using, or not. If your Record Numbers are going to be identical in BookTrakker as they are online then a purge/replace may not be required. (You can verify your Record Numbers in BookTrakker by clicking on List View tab, left side in Inventory, then looking at the Record_Code column to see what your Record Numbers will be. If they match what you have now online then no purge/replace is necessary. However,  online record formats in BookTrakker will be different from what you have now. It is a good idea to do an upload of All Online Inventory to convert previous formats to BookTrakker format, but it is not required. 

You should wait until you are satisfied with all your data importing before doing any upload, since you need to send a replacement file from BookTrakker for this to work.  


You must also inform the online services, other than Amazon and Alibris, that you are changing to BookTrakker and uploading with a BookTrakker UIEE file, via FTP, before setting up the online services in BookTrakker. You may not be able use the same username/passwords you use for uploading through the service website. 


Most of the online services use a different username and password for FTP uploads, which is how you will be uploading through BookTrakker. They do this for security reasons. You will need to contact each service and ask for a new username and password for uploading through BookTrakker. Website usernames and passwords usually will not work. (Alibris is the exception, as is Amazon, which is not covered in these instructions. See: Amazon for Amazon upload instructions.)


General Upload Instructions           

 

In BookTrakker, click the Online button at the top of the screen:

The Online Control Panel opens.

 

Click the New Service button in the bottom left of the Online Control Panel:

 




Click the dropdown button in the top field, select the service desired. The service address fills out below. If your service is not in the list then you will need to type it in, as well as the URL. See the list below. Click :  once you have selected or typed in a new service name.



After entering all the information for this page you MUST click the Test button to see if you have set the account up correctly. If you get any other message than "Host Found. Test Passed" then either you set it up incorrectly or the service did not properly set up your account. After you have tested the service you MUST click if you want to save any of the information typed in the Service or Account pages, followed by on the File tab. Click Yes to the error message you may get if the Test fails. If you click Cancel then any changes made are lost. Even if the Test fails, you need to do this to save information. You can always change it later.

If required, replace "Username" or "Password" with yours, or use the defaults required by the services. Pay attention to the slashes "/" and other info in the account path. The Account Path must be filled in exactly as specified by each service.

In "Account Path" type in a slash followed by your Online Service supplied User Name, or type in a slash with the following spaces left blank, as required by the individual service.  

Note: The slash is essential; do not omit the slash UNLESS SPECIFIED by a Service. If you must enter a username after the slash (/) do not leave a space between the slash and your Account Name. Example: /BigBookstore

Do not use the ABE example as your template for all the other services; they are all different. 

 IMPORTANT: After doing your first upload, be sure to read the last few paragraphs in this document!
You do not have to upload All Online Inventory after the initial upload.

1. SetUp for Uploading Files: General Instructions             


If required, replace "Username" or "Password" with yours, or use the defaults required by the services. Pay attention to the "/"'s and other info in the account path. The Account Path MUST be filled in as specified by each service, starting with a slash character / and then followed by a username or left blank, depending on the service.

In "Account Path" type in a slash followed by your Online Service supplied User Name, or type in a slash with the following spaces left blank, as required by the individual service. 
 
Note: The slash is essential if required by a service; do not omit the slash unless instructed otherwise. If you must enter a username after the slash (/) do not leave a space between the slash and your Account Name. Example: /BigBookstore

 2. SetUp for Uploading Files to ABEBooks (ABE)  back to Index of services

TESTING THE NEW SERVICE
Click Test. If you get "Host Found; Test Passed. Response from server: etc" then Click OK. Click after testing service -  DO NOT CLICK . Next follow instructions in INITIAL UPLOAD FILE below to finish the set up and perform a Records Test. 

BookTrakker now renames the actual file being uploaded to ABE to include a time and date stamp. You will see this change in the Export Log if you hold your mouse over the success message in the Note column, the message will say New File Name: upload_1_XXXXXXX.txt with XXXXXXX replaced by the time of day and the date. This should eliminate the problems ABE has been having with getting the same filename for each upload. The rules for reuploading remain the same, except the file uploaded will also be renamed, as above. The user will always see Upload_1.txt in the Transfer folder, only the actual file uploaded to ABE gets the name change. 

Manual Upload to ABE:

When you click Process and Upload Records button the upload file is created in the C:\BTP\Transfer folder. Upload_1.txt is the name of the file.

Login to your ABE account and click the Upload a Book or Picture File link. Click the Browse button and find the Upload_1.txt file in the the C:\BTPro\Transfer folder. Select it, click Send File. Wait for ABE to process. 

For Manual Purge/Replace go here to create a Hit List and set the records for upload, then create the file. 

Purge/Replace

Login to your account. Click Books. Click Purge all listed books. Click Purge button. 

Make sure you do your regular upload to all Active services before you do the Purge/Replace on Abebooks.

Select Abebooks. Place a check in All Online Inventory. Click Process/ Upload to Selected Service if you use 3.4 or later, otherwise you have to uncheck all services but Abebooks, then click Process and upload Records, for 3.3 users or earlier.

Do not forget to recheck all your active services, 3.3 or earlier.

 

SetUp for Uploading Zipped Images to ABEBooks  back to Index of services

Edit Service and change the name to ABEBOOKS Images. Click the File tab, click Finish.

Creating an Images.zip file in the BTPro\Transfer folder:

Trakkers who want to use BookTrakker to upload images are expected to be fairly sophisticated computer users. 

Go to your BTPro\Data\Images folder. Select the images you wish to upload as a group. Right click on the group, click Send to (or if you have a zip utility, use that). You want to zip up the group of images into the BTPro\Transfer folder, and name it Images.zip

Do NOT check the new service as Active. Select the service by clicking on the name, then do either Manual Transfer to Selected service if 3.3 or earlier, or Reupload to Selected Service in 3.4 or later.

Remember to recreate the Images.zip file for each subsequent upload.

 

 3. SetUp for Uploading Files to AntiqBook  back to Index of services

TESTING THE NEW SERVICE
Click Test. If you get "Host Found. Test Passed." then Click OK. Click after testing service -  DO NOT CLICK . Next follow instructions in INITIAL UPLOAD FILE below to finish the set up and perform a Records Test. 

Purge/Replace

Do File > Export > UIEE > Export Setup  (Instructions)
In the second or third row under Online Filename and Path make sure you have "C:\BTPro\Transfer\Purge_1.txt" (No Quotes)  and have selected a price in the dropdown list on the left. Close both forms. See Purge for more instructions.

Make sure you do your regular upload to all Active services before you do the Purge/Replace on Antiqbook.

Set up a new Antiqbook service. Name it Antiqbook - Purge. Click Next. Enter account name and password as described above. Test setup. Click Next. In Choose file to Transfer, select or type in Purge_1.txt. Click finish. Set as Active to do the Purge. Upload a file with All Online Inventory checked, using Process/Upload File to Selected Service if you have 3.4 or later. 

Do not forget to uncheck as Active after the upload of the Purge file, and recheck the regular Antiqbook service, for 3.3 users or earlier.

 

 

 4. SetUp for Uploading Files to AOB (The Art of Books)   back to Index of services

Special Instructions for Upload to AOB: AOB prefers the Amazon upload file, which for 3.3 and earlier is named AmazonUpload.txt and for 3.4 and later AmazonUpload_1.txt. If you updated from 3.3 to 3.4 then you will need to edit your AOB service and change the upload file from AmazonUpload.txt to AmazonUpload_1.txt on the File tab, then click Finish. If you do not already upload direct to Amazon then create a fake Amazon service, selecting Amazon from the dropdown list after clicking New Service. Click Next. Type in a fake email and password, click Finish. Make sure the fake Amazon service is checked as Active. When you do uploads to AOB the Amazon file will be created first, then the upload to Amazon will fail, then the new Amazon upload file will be sent to AOB.

AOB also accepts BookTrakker's UIEE file. You should contact AOB and tell them which file you plan to use. UIEE default filename in Upload_1.txt

TESTING THE NEW SERVICE
Click Test. If you get "Host Found. Test Passed." then Click OK. Click after testing service -  DO NOT CLICK . Next follow instructions in INITIAL UPLOAD FILE below to finish the set up and perform a Records Test. 

NOTE: Substitute AmazonUpload.txt or AmazonUpload_1.txt for Upload_1.txt for the Initial Upload File setup.

Purge/Replace

Login to your account. Click Inventory. Upload an Inventory File. Scroll to the bottom. Check Perform Purge and Replace. Scroll up the page to the Upload Complete File section. Select Tab Delimited or UIEE for File Format. Browse and upload your file. Any file from BookTrakker will do, as you are going to immediately check All Online Inventory then click the Process and Upload Records button in BookTrakker to upload a replacement file. 

 

5. SetUp for Uploading Files to Alibris    back to Index of services

Select Alibris. Place a check in All Online Inventory. Click Process/ Upload to Selected Service if you use 3.4 or later, otherwise you have to uncheck all services but Alibris, then click Process and upload Records, for 3.3 users or earlier.

Warning: Alibris does batch processing of upload files, so they warn that it may take up to 24 hours for changes to appear.

To remove all of your currently listed books in the TomFolio.com Database, click here

Make sure you do your regular upload to all Active services before you do the Purge/Replace on TomFolio.

Then upload All Online Inventory to TomFolio, using Process/Upload File to Selected Service if you have 3.4 or later.

Edit the Bibliophile service. Click Next. At the bottom of the tab is Account Path. Replace "process" with "purge" to purge. Click Test. If you get "Host Found. Test Passed." click OK. Click Next. Click Finish. 

Make sure you do your regular upload to all Active services before you do the Purge/Replace on Bibliophile.

After the Purge/Replace is finished, repeat and change back to "process". Make sure you click the Finish button to save changes.

Trakkers who want to use BookTrakker to upload images are expected to be fairly sophisticated computer users. 

Go to your BTPro\Data\Images folder. Select the images you wish to upload as a group. Right click on the group, click Send to (or if you have a zip utility, use that). You want to zip up the group of images into the BTPro\Transfer folder, and name it Images.zip

Do NOT check the new service as Active. Select the service by clicking on the name, then do either Manual Transfer to Selected service if 3.3 or earlier, or Reupload to Selected Service in 3.4 or later.

Remember to recreate the Images.zip file for each subsequent upload.

Initial Upload - Records Test


To make sure all your records are set for your INITIAL UPLOAD you need to perform the following procedure, which is NOT part of your normal upload process:  


 After your INITIAL UPLOAD, this Records Test Procedure is no longer necessary.


Records Test Procedure - for INITIAL UPLOAD ONLY

Click the Hit Lists tab along the left side of the Inventory screen. Click New. When the Name form appears, click OK. Notice the cursor blinking in the upper left under Search Field. Click on the dropdown button v and select Status. Click Execute. You will now be in List View, check the Red Navigational Bar at the bottom to see if your Available record count is correct. Next, click the Hit Lists tab again, look over to the upper right for the Action tab. Click this. Select Upload from the choices on the left side. Click Execute. Confirm. Now your records are set for Upload. Click on the Red Hit List button at the top of your screen to Exit Hit Lists. 


Initial Upload - Settings

For your initial upload, after setting up your online services,  you need to place a check in the just below the on the Online screen. Then, making sure you are connected to the Internet, press the button.  You only do for the first upload, for future uploads leave it unchecked: .

After your First Upload to a Service

Be sure  is left unchecked as stated above, and leave it unchecked for further uploads.

All Further Uploads - Just Click the "Process and Upload Records" button
For all future uploads all you need to do is make sure all your Active services are checked and click .  You should be connected to the Internet before you do this. BookTrakker will automatically keep track of what records need to be uploaded, including Sold books.  

 Export Log - Where you end up after every upload

After each upload BookTrakker will switch your view from the upload page to the Export Log page. This page records every upload event for each service. The page is divided into two parts, upper and lower. The upper section is the Export Log:

Records how many records in each upload and when. If the Total exceeds Available plus Sold then the difference refers to Removed, On Hold or other Status changes that deletes records from online. 

The lower section is the Transfer Log:

The Transfer Log has an Event ID, Date, Event and a Note. The upload process works as follows:

1. Initiating Automatic Transfer (Event ID 6132) is what you get when you click the Process and Upload Records button that starts the upload process. If you sell on Amazon then that is the first service that BookTrakker uploads to, since the file creation and upload is done differently than all of the other services. So in the above example Event ID 6133 and 6134 refer to Amazon. If you get Amazon upload Processed then the upload was successful. The record count may not match because of what records are set for upload to Amazon vs. the other services. You can hold your mouse over the Note for Amazon to see if their is additional information available that does not fit the space:

2. Begin Upload Process. Event ID 6135)  This starts the file creation and upload for all of your other services. Event ID 6136 reports on how many records were exported into the files for uploading to the services, in this case 7 records, which matches the Total in the Export Log.

3. File Upload Successful and File Verified. (Event ID's 6137 and 6138) After the file is created BookTrakker connects to each service and uploads the file. The upload may have worked, but to make sure it actually arrived BookTrakker compares the file in the folder on the FTP server for the service in question to the same file located in the BTPro/Transfer folder on your Hard Drive. If they match File Verified is reported. The upload process moves onto the next service.

File Verified is the MOST important message for all services other than Amazon. If you do not get File Verified, or get an error message then the file was not uploaded. See the next section on what to do about upload failure. 

4. When the upload process is complete the last message is End Upload Process. BookTrakker then takes you to the Export Log tab. READ the Export Log. If you don't then you might miss the fact that an upload failed and end up reselling books you no longer have. 


Reupload File to Selected Service in the Event of an Upload Failure

Error: "Action Failed! Non-Recoverable errors: FORMERR, REFUSED, NOTIMP"  or "The connection with the server has been reset. Internet Error" or "The attempt to connect to the server has failed" usually means the FTP server is down for that service. You can try reuploading the file, but often you may find you just have to wait it out until the service is notified of the problem and fixes it. This can sometimes take several hours. Explanation C addresses this issue when it is not fixed quickly.

Explanation A: If your upload file is created, but fails to upload for any reason, then select the service in the grid below (click on the gray square to the left of the Active column)


 and click the button. This will upload the file just created.  

If you have version 3.4 or later then the name of the button has changed to:



After upload is finished click the Export Log tab, lower left side. Look in the Transfer Log, lower half-screen. In the event column you should see the following:

Followed by, for each service:

File Upload successful

File Verified  

If you get an error message following File Verified, you can ignore it. File Verified can only happen if the file resides on the destination server, which means the upload was successful.  

YOU DO NOT NEED TO EDIT OR TEST EACH SERVICE ONCE THEY ARE PROPERLY SET UP.  

Explanation B:  BookTrakker puts a flag—“upload me next” -- on each record if it is 1) newly created and never uploaded yet, or 2) edited in any way.
 
In BookTrakker, when you hit that green button, “Process and Upload Records,” BookTrakker finds all the flagged records, copies them into an upload file, uploads the file, and REMOVES all the flags.

That’s why BookTrakker says “no records” when you try to upload again right away. Now nothing is flagged.

”Manual Transfer or Reupload File to Selected Service” is Plan B. It’s the workaround. It sends your most recent upload file to the service you highlight, rather than trying to make a new upload file.

So, when your upload stops in the middle and never finishes, just assume that something hiccupped somewhere (it could be your computer, or your ISP, or an internet hub in South Dakota, it doesn’t matter what) and go to Plan B.

Explanation C: This is for when the upload fails, you don't catch it in time, or you need to do more data entry and uploads. 

Click into the Filename field where it says Upload_1.txt or equivalent, click the dropdown, and select an older file. 

You can check to see which older file to start with by clicking on Export Log, looking at the top grid, upper half of the page. Click the Refresh button over on the right to make sure it's up to date. Last file uploaded is Xxxxxx_1.txt, next one above it is Xxxxxx_2.txt, etc. So you figure out backwards from the last upload file to see which one to upload first. 

If its Upload_2.txt then you click the Online Control Panel tab, then click into the Filename field across from the service that failed, click the dropdown button, and select Upload_2.txt. Then click Manual Transfer to Reupload File to Selected Service. 

If you have 3.3 or earlier then you need to change it back to Upload_1.txt and repeat. 3.4 or later will automatically change it back to the original filename, you can click Reupload File to Selected Service again to upload the file. 

Creating a Purge.txt file for services that require Purge in the upload filename:

Do File > Export > UIEE > Export Setup

In the second or third row under Online Filename and Path type in the following:

C:\BTPro\Transfer\Purge_.txt

Select a Price on the left. You should end up with something like this:
